Developing and Managing a Faculty-Led Study or Research Abroad Program

Create the Program:

  1. Identify partner institutions or housing, transportation, medical, academic, and other in-country support
  2. Design course and obtain campus and state approvals to teach it abroad (this process can take as long as a year to accomplish)
  3. If a research abroad, identify partner labs or faculty who will serve as mentors for the students arriving to do research abroad

Before Departure of Program:

  1. Arrange field trips in country
  2. Arrange transportation, housing and meals
  3. Arrange for lecture or lab facility access
  4. Identify computer and other resources required for the class
  5. Develop program budget
  6. Obtain approval to collect program fees
  7. Create an application and a review process to select students
  8. Recruit students
  9. Select students
  10. Coordinate pre-departure course

              Registering from abroad for following semester
              Program pre-payments
              Release forms
              Health and Safety and Travel information
              Terms of Participation and expectations for behavior
              Withdrawal Policy
              Visa and Passport information
              Master Address and Phone List Permission Form
              Medical Consent Form
              Financial Aid
              Banking and living essentials
              Contacting home
              Culture Shock
              International Student Identification Card (ISIC) applications

  11. Obtain health insurance for participants
  12. Link to Critical Incident Response Team
  13. Request a program account and develop mechanism to collect fees through SIMS
  14. Facilitate Financial Aid process for those with Financial Aid packages
  15. Registration of students in Study Abroad courses
  16. Monitor students’ program payments and payments of tuition and fees
  17. Monitor students’ GPA

During The Program:

  1. Teach the course and/or oversee research
  2. Work with in country partners on field trips and other in country activities
  3. Oversee safety, health, disciplinary, and academic issues
  4. Manage program account and working funds
  5. Coordinate with academic department and Study Abroad Programs about any on campus needs
  6. Oversee Faculty, Program, and Course Evaluations

Following The Return of the Program to the US:

  1. Submit grades and evaluations
  2. Reconcile working funds and accounts
  3. Participate in a de-briefing to discuss future program improvements
